Privacy policy

How we collect, use, store and share personal information about vendors, agents and visitors, what partner agents receive, and how to access or correct it.

Draft for legal review. This policy is published for the waitlist site and will be finalised with counsel before public launch.

[Entity name] (ABN [ABN]) ("we", "us") operates greatrealestateagents.com.au. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what personal information we collect, why, how we hold it and who we share it with.

Information we collect

Vendors and visitors. When you request proposals or appraisals we collect your name, email address, mobile number, the address of the property, property type, your selling timeframe and the consents you give. We verify your mobile number by one-time code. When you use the site we collect usage data (pages viewed, device and browser, approximate location from IP address) through our analytics tools. When you leave a review after a sale we collect the review, your rating and the settlement reference that verifies it.

Agents and principals. We collect publicly available professional information about real estate agents and agencies: name, agency, office address, business phone and email, licence number and status, sold listings, and ratings and reviews from licensed sources. When you claim a profile we also collect your email, mobile, licence details, the agreements you accept (with timestamp and IP address), the data sources you connect and the tokens needed to read them, your lead responses and status updates, and billing details through our payment provider.

Automated collection. Our crawler, GreatRealEstateAgentsBot, collects business contact details from agency websites that permit it. It does not collect personal information about private individuals. See the bot page.

Why we collect it

To rank and display agents; to match vendors with agents and send vendor enquiries to the agents the vendor has chosen; to verify identities and licences; to detect when a referred sale settles so that the agent can be invoiced; to send the messages described below; to collect and verify reviews; to improve the site; and to comply with law.

What we share with partner agents

When you request proposals we share your name, contact details, property address and timeframe with the agents you select, up to three, and only after you have given express consent on the form that names the number of agents. We tell you which agents received your details. Agents are bound by our referral agreement to use your details only for the enquiry.

We share referral information with the licensed real estate entity through which referral activity is conducted in your state, as required by law, and with our service providers below.

Messages

Transactional messages (verification codes, agent assignment notices, status updates) are sent to anyone who makes an enquiry. Other email and SMS, including nurture emails, check-ins and review requests, are sent only with your consent given on the form, and every one carries an unsubscribe or STOP option that we honour within five business days. We do not send marketing SMS to agents without express consent. Agent outreach emails go to published business addresses, are relevant to the recipient's role, identify us and our ABN and carry an unsubscribe link, consistent with the Spam Act 2003.

Service providers

We use providers for hosting (Vercel, Supabase in Sydney), email (Postmark), SMS (Twilio), payments (Stripe), analytics (PostHog, Google Analytics), error monitoring (Sentry) and address and map data (Google, Mapbox). Some of these providers store data outside Australia; where they do, we take reasonable steps to ensure they handle it in accordance with the Australian Privacy Principles.

Storage and security

Vendor personal information is stored in Australia with field-level encryption, accessible only to staff who need it for lead operations. Agent portal data is protected by row-level access controls. Vendor contact details are deleted or de-identified 12 months after the last referral activity unless a referral is still open. Review text is retained while the review is published.

Access, correction and complaints

You may ask for access to the personal information we hold about you, or ask us to correct it, by emailing privacy@greatrealestateagents.com.au. Agents can correct professional information directly through a claimed profile. We respond within 30 days. If you are unhappy with our response you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Data breaches

We maintain a data breach response plan and will notify affected individuals and the Commissioner of any eligible data breach as required by the Notifiable Data Breaches scheme.

Changes

We will post changes here with the updated date above. Material changes affecting how we share vendor information will be notified to affected vendors by email.
